Application Procedure

Please carefully read the Who Can Apply and Grants section to find out:​

The application procedure for outgoing student and staff from Cardiff Met to Partner Institutions and incoming students and staff from Partner HEI's to Cardiff Met is detailed below:

Outgoing Students and Staff from Cardiff Met

  1. Please review the Partner Countries section and choose an international destination from the countries listed under any of the currently running projects. The list of partner countries per project is definitive.
  2. Review the list of partner universities listed under each partner country per project. The list of partner institutions per project is definitive. The courses available at partner universities will be advertised on the online database. If you have any queries, please contact the Erasmus+ ICM coordinator at int.erasmusplus@cardiffmet.ac.uk
  3. Check this website or the online database for the Call for Applications deadline.
  4. Collect all documents that need to be uploaded in the online application (listed in the Documents section below). *Please note that documents that are not in English, or the language of the host university, must be accompanied with certified translated copies* 
  5. Register on the online database (https://www.extraback.net/EICMV2/Account/Register) and fill out the online application form. Upload all of the mandatory documents, save and submit your application. Applications submitted by email, post or in person will not be accepted.  Please note: If you have previously registered and applied for an Erasmus+ ICM exchange and are looking to apply again, you will need to create a new account with a new email address before proceeding to submit your application.
  6. After the deadline, applications will pass through an Eligibility Check to determine if the eligibility criteria has been met and mandatory documents have been submitted . After  this check, applications will be assessed and graded for academic quality. 
  7. Successful applications will be chosen by a Selection Committee. The Selection Committee will make the final selection in line with the criteria of academic merit and consideration of equal opportunities, gender-balance and socio-economically disadvantaged candidates.
  8. Cardiff Met as the co-ordinating institution will issue Nomination Letters via email to the successful candidates. The candidates must accept or reject the offer within 7 days.
  9. Accepted scholars will have to sign a mobility Grant Agreement, which specifies all rights and obligations related to the grant. The host university will start the admission procedurs for mobilising students  and will Invitation Letters for starting the visa application process (if applicable).
  10. When the selection and admission process has finished, unsuccessful applicants and those included in the reserve list will be notified of the final result. Rejected applicants will be given the right to request feedback on their application by emailing the project coordinators on int.erasmusplus@cardiffmet.ac.uk within 7 days of notification of outcome of application.

Please note that all outgoing student mobilities are subject to approval from the academic school. All outgoing staff mobilities are subject to approval through the Overseas Travel process.

Incoming Students and Staff to Cardiff Met

  1. Please review list of partner universities listed under each partner country under Partner Countries to check if your university is a partner in the current project. You can only apply for an exchange if your institution is a partner under an active Erasmus+ International Credit Mobility Project with Cardiff Met.
  2. The courses available at Cardiff Met  will be advertised on the online database. If you have any queries, please contact the Erasmus+ ICM coordinator at int.erasmusplus@cardiffmet.ac.uk
  3. Check this website or the online database for the Call for Applications deadline.
  4. Complete all documents that need to be uploaded in the online application (listed in the Documents section below).*Please note that documents that are not in English, or the language of the host university, must be accompanied with certified translated copies *Please also note that some programmes require students to upload a portfolio of work for the host university to assess. This will be requested at application stage*
  5. Register on the online database (https://www.extraback.net/EICMV2/Account/Register) and fill out the online application form. Upload all mandatory documents, save and submit your application. Applications submitted by email, post or in person will not be accepted. Please note: If you have previously registered and applied for an Erasmus+ ICM exchange and are looking to apply again, you will need to create a new account with a different email address before proceeding to submit your new application

Online Application

Submit an application for an Erasmus+ International grant via the online database here.

  1. Complete the User Registration page.  *You can only register ONCE. If you register and apply from several accounts this will lead to disqualification. If you have previoulsy registered for another call for application, you will need to create a new account using a different email address.
  2. Check your inbox for your registration confirmation email, confirm your registration and change your account password 
  3. Enter the information requested and select the type of mobility you wish to apply to
  4. Upload all of the required documents.
  5. Save and submit your application!

​Selection Documents

In addition to entering your information on the online form, there are supporting documents which you will need to upload. These will vary according to the type of grant you are applying for.

Please check the following lists to ensure that you upload the correct documents. If you are not able to provide any of these documents at the time of application (e.g. transcript), please complete and upload the Statement of Commitment form.

Undergradu​ate:

  1. Motivation Letter in support of your application
  2. Transcript (must evidence minimum one year successful completion at UG level)
  3. Copy of Passport
  4. Official proof of Language certificate as per host university entry requirements (for incoming students to Cardiff Met, the requirement is an official IELTS certificate meeting the University's entry requirements of an overall score of 6, minimum of 5.5. in each component)
  5. 1 x Recommendation Letter 
  6. Art work portfolio (only applicable for Art and Design undergraduate courses)

Master:​​

  1. Motivation Letter in support of your application
  2. Official Bachelor degree certificate and transcript
  3. Proof of enrolment letter onto the Master's course
  4. Copy of Passport
  5. Official proof of Language certificate as per host university entry requirements (for incoming students to Cardiff Met, the requirement is an official IELTS certificate meeting the University's entry requirements of an overall score of 6, minimum of 5.5. in each component)
  6. 1 x Recommendation Letter 

Staff:​​

  1. Completed Staff Mobility Agreement (Teaching*/Training)
  2. Motivation Letter in support of your application
  3. CV
  4. Copy of Passport
  5. Proof of Language certificate/letter
  6. 1 x Recommendation letter
  7. Teaching staff*: academic record, list of publications, academic experience
  8. Training staff: description of work experience

*Teaching Staff may be required to undertake a Skype Call with the relevant Head of Department to discuss subject areas for teaching, relevant publications and proposed mobility schedule.


All the above listed documents are mandatory for your application to be considered. Failure to submit the complete list of documents may lead to the application being made ineligible.

Please ensure your application is accompanied by certified translations of certificates that are not originally in English.

Statement of Commitment

 *The agreement should be signed by the applicant and the person responsible at the sending institution. The receiving institution will sign the agreement upon successful nomination of an award.
